Wellington Expo Layout

This year DevCon 2008 will be held on Thursday, 19 June 2008. You are invited to present a display that showcases your organisation’s key programmes or successful projects, and particularly those that:

  • Demonstrate progress toward achievement of the State Services Development Goals

  • Highlight success engaging with New Zealanders to transform and enhance the delivery of services

Display stands are only available to those organisations invited to participate in the conference.

Registration

To confirm your participation as an Exhibitor at DevCon 2008, please complete the appropriate forms below and return to Paardekooper and Associates. There are limited numbers of Exhibition booths still available and will be allocated on a first-in, first-served basis.

Conference Venue

DevCon 2008 will be held at the Wellington Convention Centre (Town Hall and Michael Fowler Centre), 111 Wakefield Street, Wellington. There is paid parking available next to the Michael Fowler Centre and on the streets surrounding the Town Hall. Please note that you must display a valid coupon to avoid ticketing. There are also a number of parking buildings in the surrounding area, such as the James Smith's car park (entrance off Wakefield Street).

Conference Sustainability

This event has measured, managed and mitigated its greenhouse gas emissions by participating in the carboNZero programme.

Conference Exhibition details

This year, Exhibition displays will be located in the Renouf Foyer of the Michael Fowler Centre, together with the catering functions for the conference. This will provide an extra focus for exhibits and give exhibitors optimum exposure to attendees during morning and afternoon teas, lunch and the post-event networking and refreshments session.

The set-up time for booths will be between 7.30 am and 9.00 am on 19 June. Please note that all exhibitors must use the Michael Fowler entrance to deliver their display. Booths may not be packed up until AFTER the closing of the networking function (approximately 7.00pm).

The basic setup of your booth will be installed and removed for you. Installation includes:

  • Velcro receptive display panels
  • Power to site
  • Dressed table with chair
  • Spotlighting

Any additional requirements are your responsibility as an exhibitor and will be at your own cost. You can arrange these through Danielle Connole at DisplaysWays on + 64 4 576 0990 extn 204 or email d.connole@displayways.co.nz. There are sufficient power points in the venue but it will be necessary to bring your own junction boxes, extension cords and additional lighting.

Cost

The cost for an Exhibition booth at DevCon 2008 is $395 + GST. Your booth will include:

  • Velcro receptive display panels (exhibitors must provide their own Velcro dots)
  • Power to site
  • Dressed table with chair
  • Spotlighting
  • Installation and removal of basic setup

Any additional requirements are your responsibility as an exhibitor and will be at your own cost.

Internet Access

Internet access in the Town Hall is available through Cafelink, and is payable by Credit Card. If you have any other multimedia requirements for your trade exhibit please contact Matt Hoyle from MultiMedia on 499 8291 or email matt.hoyle@multi-media.co.nz to arrange access at your expense.

Attendants

Exhibition Attendant Entry

Each booth includes two exhibition attendant registrations, allowing access to all catering but not access to conference sessions. The Conference Access ID card, which you will find in your stand, is interchangeable. Complete the Exhibition Registration – Attendants form and return it to the Conference Organiser with your Exhibition Registration form.

Registering Extra Attendants

Should you require more than 2 persons in your stand at any one time, then please complete the Extra Attendant section on the Exhibition Registration - Attendant form and return it to the Conference Organiser as soon as possible.

Extra Attendant registrations include all catering during the day, as well as entry to the networking function. It does not include entry into conference sessions. The fee for each Extra Attendant is $75.00 + GST per person.

Please arrange payment for any extra attendants with the Conference Organiser, Paardekooper and Associates, PO Box 41 002, Eastbourne, Wellington, New Zealand as soon as possible.

Additional trade attendants will need to report to the registration desk to collect their name badge.

Accommodation

If you require accommodation please get in contact with the conference organiser and they will arrange this for you.

Invoicing details

When you receive an invoice, please check all details shown on your invoice are correct. Your invoice has your booth number. Please make cheques payable to: State Services Commission / DevCon 2008

Terms and Conditions

Your invoice must be paid within 14 days unless otherwise arranged with the Conference Organiser.

Exhibitors are liable for any damage they cause to the venue. Pins, nails, tape and other items are not to be used on the walls, ceilings or other fittings at the Town Hall.

It is imperative that exhibitors have their trade exhibition set up by 9:00 am on Thursday 19 June 2008.

Exhibitors are requested to dismantle and remove all display equipment immediately following the conclusion of the networking function at 7.00 pm. Exhibit breakdown must be completed by 9.00 pm Thursday 19 June 2008.

Exhibitors are responsible for handling all materials belonging to their employing company.

Cancellation Policy

Exhibitors cancelling from the conference prior to 1 May 2008 will receive a refund less an administration fee of $100 + GST.

Exhibitors cancelling after 1 May 2008 will be liable for full costs of their commitment.

Please note submission of your confirmation form indicates agreement to these terms and conditions as outlined above.
