Exhibit Information
Wellington Expo Layout
This year DevCon 2009 will be held on Thursday, 18 June
2009. You are invited to present a display that showcases your organisation’s
key programmes or successful projects, and particularly those that:
- Demonstrate progress toward achievement of the State Services Development
Goals
- Highlight successful programmes or activities that improve
the delivery of front line services for New Zealanders
Display stands are only available to those organisations invited to
participate in the conference.
Registration
To confirm your participation as an Exhibitor at DevCon 2009, please complete
the Exhibitor Application Form below and return to Paardekooper
and Associates. There are limited numbers of Exhibition sites and will be
allocated on a first-in, first-served basis.

Exhibit registration
Conference Venue
DevCon 2009 will be held at the Wellington Convention Centre (Town Hall and
Michael Fowler Centre), 111 Wakefield Street, Wellington. There is paid parking
available next to the Michael Fowler Centre and on the streets surrounding the
Town Hall. Please note that you must display a valid coupon to avoid ticketing.
There are also a number of parking buildings in the surrounding area, such as
the James Smith's car park (entrance off Wakefield Street).
Conference Exhibition details
Exhibition displays will be located in the Renouf Foyer of the
Michael Fowler Centre, together with the catering functions for the
conference. This will provide an extra focus for exhibits and give exhibitors
optimum exposure to attendees during morning and afternoon teas, lunch and the
post-event networking and refreshments session.

allocated on a first-in, first-served basis.
The set-up time for sites will be between 7.30 am and 9.00 am on 18
June. Please note that all exhibitors must use the Michael Fowler
entrance to deliver their display. Displays may not be packed up
until AFTER the closing of the post conference
reception (approximately 7.00pm).
The basic setup of your display will be installed and removed for you.
Installation includes:
- Velcro receptive display panels
- Power to site
- Dressed table with chair
- Spotlighting
Any additional requirements are your responsibility as an exhibitor and will
be at your own cost. You can arrange these through Danielle

There are sufficient power points in the venue but it will be necessary to bring
your own junction boxes, extension cords and additional lighting.
Cost
The cost for an Exhibition booth at DevCon 2009 is $395 +
GST. This cost covers the basic setup of your site as detailed
above.
Any additional requirements are your responsibility as an exhibitor
and will be at your own cost.
Internet Access
Internet access in the Renouf Foyer is
available through Cafelink, and is payable by Credit Card. If you have any other
multimedia requirements for your exhibit please contact Matt Hoyle from
MultiMedia on 499 8291 or email matt.hoyle@multi-media.co.nz to
arrange access at your expense.
Attendants
Exhibition Attendant Registrations
Each site includes two exhibition attendant registrations, allowing access to
all catering (including the post conference reception) but not access
to conference sessions. You do not need to register your attendants, this will
be done automatically. Name badges will state your organisation name and
“Exhibitor” so they are interchangeable between your attendants.
Registering Extra Attendants
Should you require more than 2 persons in your stand at any one time, then
please arrange this with the Conference Organiser, Paardekooper and Associates
as soon as possible.
Extra Attendant registrations include all catering during the day, as well as
entry to the conference reception. It does not include entry into conference
sessions.
The fee for each Extra Attendant is $75.00 + GST per person.
Accommodation
If you require accommodation please get in contact with the conference
organiser and they will arrange this for you.
Invoicing details
When you receive an invoice, please check all details shown on your
invoice are correct. Your invoice has your exhibition
site number. Please make cheques payable to: State Services
Commission / DevCon 2009
Terms and Conditions
Your invoice must be paid within 14 days unless otherwise
arranged with the Conference Organiser.
Exhibitors are liable for any damage they cause to the venue. Pins, nails,
tape and other items are not to be used on the walls, ceilings or other fittings
at the Town Hall.
It is imperative that exhibitors have their trade exhibition set up by 9:00
am on Thursday 18 June 2009.
Exhibitors are requested to dismantle and remove all display equipment
immediately following the conclusion of the post conference
reception at 7.00 pm. Exhibit breakdown must be completed by 9.00
pm Thursday 18 June 2009.
Exhibitors are responsible for handling all materials belonging to their
employing company.
Cancellation Policy
All cancellations must be notified in writing by fax or email to the
conference organiser. Cancellations received on or before 5 pm Friday 1 May 2009
will receive a refund less an administration fee of $100 + GST. Exhibitors
cancelling after 5 pm Friday 1 May 2009 will be liable for full costs of their
commitment.

indicates agreement to these terms and conditions as outlined above.
